Terms & privacy
Plain-language terms for using Rotaract at Work, how we handle your personal data under the Kenya Data Protection Act, 2019, and what we are and are not responsible for. Last updated 29 October 2026.
Terms of use
Rotaract at Work ("the platform") is run by Rotaract District 9215 ("we", "us") to help Rotaractors buy, sell, hire and find work within the Rotaract community. By using the platform you agree to these terms.
Who can use it
- Anyone aged 18 or over may browse, buy, post a job or contact a seller.
- Only verified, active members of a Rotaract club in the district, or the clubs themselves, may open a shop, post requests or create a talent profile.
- You are responsible for keeping your account secure and for everything done through it.
Selling
- You must have the right to sell what you list and must follow the guidelines and Kenyan law, including tax and licensing rules that apply to you.
- You are the seller of record. Prices, descriptions, delivery, refunds and warranties are your responsibility.
- You give us permission to display your shop name, logo, listings and reviews on the platform and in promotions of the platform.
- We may refuse, pause or remove shops and listings that break these terms, and may suspend repeat offenders.
Buying
- Orders are sent directly to sellers through WhatsApp or the seller's own website. There is no payment on the platform.
- Your contract is with the seller, not with us. Agree on price, payment, delivery and returns with the seller before paying.
Jobs
- Employers must post genuine opportunities and must never ask applicants for money.
- We review posts but do not vet employers or guarantee any job. Do your own checks before sharing sensitive details or accepting an offer.
Content
You keep ownership of what you post. You must not post anything unlawful, misleading, abusive, or that infringes someone else's rights. We may moderate content to keep the platform safe. The Rotary and Rotaract names and marks belong to Rotary International and are used here only to identify the community; the platform is an initiative of Rotaract District 9215 and is not run by Rotary International.
Changes
We may update these terms. Material changes will be announced on the platform. Continuing to use it means you accept the updated terms.
Privacy notice
We process personal data in line with the Data Protection Act, 2019 (Kenya) and its regulations. Rotaract District 9215 is the data controller for data collected through the platform.
What we collect
- Account data from the Rotaract platform when you sign in: name, email, club and membership status.
- Shop and profile data you choose to publish: shop details, WhatsApp number, photos, skills, CV and links.
- Order data you enter at checkout: name, location, optional phone and email, notes and the items ordered. This is shared with the seller you order from.
- Applications: name, contact details, CV and cover note, shared with the employer you apply to.
- Messages and reports you send us.
- Technical data: a one-way hashed version of your IP address for security and abuse prevention, and anonymous view and click counts.
Why we use it
- To run the marketplace and connect buyers, sellers, employers and applicants (performance of a contract).
- To verify membership, prevent fraud and keep the platform safe (legitimate interest).
- To share applications with employers and publish profiles you make public (consent, which you can withdraw).
- To meet legal obligations.
We do not sell personal data and we do not use it for third-party advertising.
Who we share it with
- The seller or employer you choose to contact.
- District and club officials, only where needed to verify membership or resolve a report.
- Service providers who host and operate the platform, under confidentiality obligations.
- Authorities, where the law requires it.
WhatsApp is operated by Meta. When you order through WhatsApp, your message is handled under WhatsApp's own terms and privacy policy.
How long we keep it
- Orders and reviews: up to 3 years, for trust and dispute records.
- Job applications: up to 12 months after the job closes.
- Support messages and reports: up to 2 years.
- Shops and profiles: until you delete them or leave Rotaract, then removed within 90 days.
Security
We use encrypted connections, hashed links for order management, restricted access to CVs and regular reviews of who can access data. No system is perfectly secure, so please do not share passwords, PINs or ID numbers in messages.
Your rights
Under the Act you have the right to be informed, to access your data, to object to processing, to have inaccurate data corrected, to have data deleted, to data portability, and to withdraw consent. To use any of these rights, email us. We respond within the time the law requires. You may also complain to the Office of the Data Protection Commissioner (ODPC).
Storage & cookies
We use one essential session cookie to keep you signed in and protect forms. Your bag, theme choice, checkout details and recent orders are saved in your browser's local storage on your device only; we cannot see them until you place an order. You can clear them at any time in your browser settings. We do not use advertising cookies.
Disclaimer
The platform connects members. Sales and payments happen directly between buyer and seller.
- We are not a party to any sale, service agreement or employment relationship made through the platform.
- We do not hold, process or guarantee payments, and cannot issue refunds.
- Verification confirms Rotaract membership only. It is not an endorsement of a seller's products, services, qualifications or business.
- Listings, jobs and reviews are posted by users. We moderate them but do not guarantee their accuracy.
- To the extent allowed by law, we are not liable for losses arising from transactions between users. We will, however, help where we can by investigating reports and acting against members who break the rules.
